地点是inner west。有意者请给我发站内信息。 此公司欢迎具备多种语言能力的澳洲居民。 JOB DESCRIPTION: ADMINISTRATION COORDINATOR REPORTING TO: Agency Head of Operations MAIN PURPOSE: To provide administrative, secretarial and general business support, under the management of the Agency Head of Operations or Senior Management. KEY ACCOUNTABILITIES: Administrative Services: · Implement and improve operational practices and procedures within the Agency · Ensure the schedule of appointments and meetings for the Head of Operations and Managing Director are kept up to date and reflects the priorities as required · Ensure material is prepared for the Agency Head of Operations daily appointments and meetings · Screen correspondence, inquiries and respond as appropriate · To answer all telephone calls in a professional and timely manner · Ensure messages are taken clearly and accurately and distributed in a timely fashion · Meet and greet visitors in a professional manner and announce their arrival to relevant staff member(s) · Coordinate all couriers (including overnighters) and record to ensure information is correct including job numbers, addresses and level of service required · Collect post and newspapers on a daily basis and distribute to Director as appropriate · Record and stamp all outgoing post · Take post to post office and record all job numbers on receipt ready for accounts processing · Conduct background research, compile reports and documents, including graphics · Establish and maintain positive communication links with the Agency Head of Operations and Etcom staff, Etcom Chairman and STW Group Executives · Establish and maintain positive communication links with staff around Human Resources and Finance areas · Responsibility for placement of HR recruitment advertising · Provide administrative support to special projects or as assigned by the Head of Operations, such as agency new business pitches · Ensures Etcom records are kept in accordance with Etcom policies and standard practices · Identify issues and provide advice regarding policies and standard practices. Budget Management: · Prepare and monitor the budget for Head of Agency office, apprising any anomalies in a timely manner to take corrective action · Facilitate the approval of purchase orders, travel & expense claims, etc. · Solve budgetary and financial issues within scope of authority and communicate results as appropriate · Ensure that travel & expense claims, purchase orders, requisitions, cheque requests, etc. submitted for the Head of Operations signature are correct before obtaining signoff · Identify issues and provide advice regarding policies and standard practices. Other Administrative Duties: · Organise lunches, Friday afternoons and employee birthdays · Book travel requirements, couriers and taxis for Etcom employees · Update staff & IT details – e.g. telephone directory, employee contacts · Maintain stationery fulfilment and printer equipment requirements · Ensure adequate kitchen supplies are ordered · Organise lunch time roster and reception relief · General HR file keeping e.g. annual leave forms, resumes etc · Other duties as assigned. KNOWLEDGE, SKILLS AND EXPERIENCE · Experience working in administration or similar · Able to work under direction of senior management · Well organised · Excellent attention to detail · Impeccable time management skills · An effective communicator · Flexible, persuasive and diplomatic · Numerate · Good at negotiating · Excellent written and verbal communication skills · Ability to juggle many tasks at once · Flexible, hands-on attitude · Computer knowledge windows, excel & power point · Ability to remain calm under pressure · Self-starter and proactive in approach · Ability to achieve agreed goals and meet deadlines · Ability to remain professional both internally and externally · Good sense of humour [ Last edited by 月亮 on 2006-5-11 at 02:39 PM ] |
